Donor Database Manager

The Donor Database Manager creates and maintains constituent records within the donor database (Blackbaud Raiser's Edge, NetCommunity) in an accurate, consistent, productive and service-oriented manner. Primary responsibilities include maintaining the integrity, quality and accuracy of the donor database through the development of policies and procedures and overall management.


Primary Duties and Responsibilities

Database Administration

  • Responsible for oversight and management of alumni/donor database - Blackbaud Raiser's Edge (RE), Modules, NetCommunity and customized plug-ins

  • Create and maintain constituent data to ensure data is properly input and updated

  • Build and run standard and customized queries, exports and reports within RE to assist with quality control efforts and donor stewardship

  • Prepare import and export files as necessary; manage plug-in configuration files

  • Responsible for all gift processing (cash, credit card, gifts-in-kind, matching gifts, etc.) and management including input into database

  • Coordinate with finance staff and various departments to process donations

  • Oversee reconciliation of all donations to ensure timely reporting and stewardship

  • Conduct research to analyze data and provide guidance of metrics for tracking overall giving

  • Develop, run and prepare reports (financial, historical analysis, alumni data, benchmarks, etc.) for various presentations and meetings

  • Integrate modules (email, event, volunteer, etc.) to connect to constituent records for optimal solicitations and cultivation strategies

  • Build out NetCommunity site and manage content for alumni web pages and online directory

  • Ensure database integrity by conducting regular data clean-up and audits; recommend measures to continually improve data quality and accuracy

  • Be the subject matter expert on coding and functionality within database by participating and/or leading discussions of database protocol and best practices; developing policies/procedures; and leading training sessions

  • Develop and maintain a procedure manual for system management including constituent records and gift processing

  • Balance policy/strategy responsibilities with hands-on data entry, production and daily database management

  • Remain adept to Blackbaud updates, complete training on products including RE and NetCommunity

  • Serve as liaison with Blackbaud account team to manage renewals and product offerings




Donor Stewardship and Cultivation

  • Manage Prospect Module to assist in identifying new and existing donor capacity for specific solicitations

  • Produce standard reports to facilitate analysis and decision-making

  • Build queries and exports for alumni and donor lists as requested

  • Suggest and/or pull segmented lists based on criteria for appeals, targeted mailings and events

  • Produce merge mail correspondence for appropriate signatures for acknowledgement letters

  • Ensure accuracy, integrity and timeliness of donor recognition and input in Raiser's Edge

  • Contact alumni and donors as necessary to gather information to update records and/or process gifts

  • Conduct research and analysis to discuss donor stewardship and cultivation strategies

  • Proactively research best practices and industry trends in nonprofit sector


Additional Duties and Responsibilities

  • Work in a team environment on department activities and events as needed

  • Proactively participate in team, departmental and organizational meetings, providing updates and suggestions for improvement of data governance and database management

  • Maintain knowledge of new developments and features of online database system

  • Assign student workers to assist with completion of data projects

  • Assist with other duties and tasks, as assigned

Minimum Qualifications

  • Blackbaud Raiser's Edge, NetCommunity experience highly preferred (open to individuals with other database systems or CRM experience)

  • Minimum two years database management or CRM experience required

  • Strong understanding of donations and gift processing for 501(c)3 including legal regulations highly preferred

  • Experience working in non-profit and/or higher education highly preferred

  • BA/BS degree or equivalent required


Additional Qualifications

  • Prior experience and familiarity with strategies related to donor cultivation and stewadship

  • Proficient in Microsoft Office, database and content management system experience with fundraising programs

  • Ideal candidate will be highly organized, flexible and possess the ability to prioritize and handle multiple tasks independently

  • Aptitude for detailed work and strong analytical/problem solving skills with ability to focus and communicate effectively

  • Able to work independently as well as with teams; to focus on priorities and time specific duties; and to be available to work occasional evening hours as necessary

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
